Account Coordinator – Inside Sales

JOB FUNCTION/PURPOSE

The Account Coordinator – Inside Sales is expected to work closely with the E-commerce sales and marketing as well as customer service to ensure that all customer expectations are exceeded. The AC will also interface with the development/creative department and operations as necessary. A high level of communication between all disciplines is required.

Specifically, the AC is held primarily accountable for managing sales inquiries generated through NOA’s websites and other channels. The AC will work closely with the sales and business development team and elevate inquiries when necessary. The AC will also assist on larger customer accounts during peak times of business. An external focus is paramount and the AC is required to intimately understand the customer’s needs, expectations, culture and personnel structure. This role is required to establish sound working relationships at many levels within the customer’s organization, maximize additional sales opportunities from assigned accounts, communicate both internally and externally to ensure projects run smoothly, problem solve as needed, and ensure that the voice of the customer is heard and understood within the NOA Brands organization.

The AC is expected to perform “best practices” and to continually seek improvement of processes and systems. The effective management of scope, timing and costs of assigned projects is a key requirement.

AREAS OF RESPONSIBILITY:

  1. Reply to all inquiries within 24 hours.
  2. Follow up with all customers 10 days after shipping, 90 days after shipping, and 9 months after shipping.
  3. Reach out to all customers who purchased $10,000 or less but have not purchased again in 12 months.
  4. Be the primary contact for customer with frequent communication.
  5. Fully document all projects including meeting notes, customer comments, emails, timelines, issues and resolutions, etc.
  6. Work with engineering to obtain accurate cost estimates of all new items and present to sales to establish retail pricing. Appropriate back-up documentation is required.
  7. Provide customers with quotes and keep a record of all quotes sent.
  8. Resolve any issues that may arise for all assigned accounts and ensure a pleasant and seamless customer experience.
  9. Communicate upcoming projects to scheduling and production to maintain a clear understanding of companywide workload.
  10. Acquire customer store opening and rollout schedules and ensure they are met at a 100% on-time delivery rate. Continually update and monitor these schedules to ensure that production is properly coordinated with customer needs and expectation.
  11. Receive and process purchase orders through ERP system.
  12. Generate and send all required monthly and quarterly reports.
  13. Maintain a record of all sales inquiries and maximize any opportunities for growth and development on each account.
  14. Understand the purchasing trends of smaller retailers

ADDITIONAL ACCOUNTABILITIES

  1. Master the ERP system to independently garner all necessary information related to customer projects, orders, and required reports.
  2. Help with content build and implementation of new e-commerce website.
  3. Additional responsibilities as assigned by supervisor.

SUPERVISION

The AC will report directly to the Senior Digital Marketing Manager.

Master Artist / Model Maker

We are the designers, developers and manufacturers of custom mannequins and visual merchandising products for the retail industry. We are pioneers of highly-durable mannequins and forms, specializing in custom design, speed-to-market development and high capacity manufacturing. Headquartered in Lafayette, Colorado with on-site design, development, engineering and molding departments, NOA Brands is the one-stop shop for retail display mannequins. We have global production, warehousing and shipping capabilities to support our customers’ worldwide in-store needs.

Master Artist Position

Master Artists are responsible for translating full scale clay sculptures of retail display mannequins into fiberglass “Masters” through a variety of molding, casting and refinement techniques. Production tools are derived from Masters and therefore Masters are required to be a perfect execution of aesthetic and functional features. The ideal candidates should have experience with and passion for molding, casting, fabrication and hands-on refinement of design features.

Ideal Experiences include

  • Industrial Design background
  • Understanding of mechanical systems
  • Familiarity with electric, pneumatic, and hand tools (drills, saws, sanders…)
  • Mold making of sculptural Art
  • Silicone & Plaster mold making
  • Fiberglass lamination
  • Chasing and refinement of Resin, Plaster or Metal Sculptures
  • Hard sculpting (sculpting in hard materials such as resin, bondo, plaster)
  • Knowledge of human anatomy
  • Must be able to lift 50 lbs on regular basis

Traffic Coordinator

Job Function / Purpose

The primary function of the Traffic Coordinator is to be the key point of contact for all scheduling needs for the Design and Development teams. The TC will monitor the status of all projects daily and update key stakeholders as needed.

The purpose is to work hand-in-hand with the Account Development Managers and the Development Managers to keep custom projects moving through development by assigning resources to projects, raising flags when projects are in jeopardy, alerting teams when scheduling conflicts arise through new project requests, and adjusting schedules based on new information, dates, etc.

The Traffic Coordinator is expected to perform “best practices” and to continually seek improvement of processes and systems. The effective scheduling all items through the development process is a key requirement, and is to analyze and understand the keys metrics around performance of each phase in our development process.

Areas of Responsibility

  1. Work within the Product Development team to schedule projects from Sales Opportunity and Concept Initiation through to Product Release, in addition to all prototypes and samples. This includes concept design, 3D design, sculpt, photography, and master and tooling.
  2. Receive requests from Account Development Managers (ADM) / Sales / Creative for a potential project and provide feedback on estimated schedule availability, understand the work that needs to be completed in Development and an awareness of bigger-picture ship date needs.
  3. Sit in on Brief Meetings, Internal Reviews, and Phase Exits Reviews. Work with ADMs and all appropriate stakeholders to determine best path of execution and resource availability for each project, and schedule accordingly.
  4. Using appropriate software, enter, update and track the overall Development schedule. Provide project-specific schedules to ADMs for customer awareness.
  5. Monitor daily progress of projects in the pipeline and report to key stakeholders in a timely manner.
  6. Alert the team to potential conflicts and possible work-around solutions.
  7. Advise how any delays or project movement will ultimately impact a project (due to review dates, revisions, delays in information, etc)
  8. Attend development reviews to understand scope of project and how changes may impact the schedule.
  9. The TC is responsible for leading weekly discussion around high level project status, and providing key updates on this status and metrics for weekly executive team meeting.

Additional Accountabilities

  1. Work closely with creative, development, sales, account project management to ensure all project information is clearly communicated and documented.
  2. Work closely with Product Designers, 3D Designers, Art Directors and Design Director to ensure all internal and customer department projects are accounted for, assigned to resources, and are tracking against timelines.
  3. Understand personnel dynamics in each department to accurately assign resources to projects that can be completed in proposed timeline.
  4. Understand various processes and techniques available to each department to schedule projects through accurately.

Supervision

The Traffic Coordinator reports to the VP of Creative.

Account Coordinator

About the Position

The Account Coordinator works closely with Senior/Account Managers to ensure the NOA Brands customers and Sales Group needs are met within the specified time frame. Specifically, the AC is held primarily accountable for the overall wellbeing of the assigned accounts and is the primary contact on a daily basis.

The Account Coordinator is responsible for orders from the receipt of POs, through production, product delivery, and closing of the order. The Account Coordinator is expected to work with minimal supervision. Additionally, the position requires daily interaction with all teams including but not limited to: production, scheduling, logistics, and finance.

Areas of Responsibility

  1. Work with Customers/Sales to ensure a pleasant and seamless customer experience. This includes:
    1. Enter and update sales orders
    2. Inform the sales team of delays and changes
    3. Manage blanket releases
    4. Process RMAs
    5. Process customer complaints
    6. Create labels/label templates
    7. BOL/commercial invoices
    8. Shipping document support
    9. Arrange third party freight
    10. Communicate tracking to clients and sales team
    11. Resolve shipping discrepancies
    12. Update team with weekly reports

Qualifications
